The Petersen Ranch offers workshops, photo tours and leases (herein referred to as “event”). These events are offered directly by The Petersen Ranch as well as Third Party operators and instructors. The cancellation policy below pertains strictly to those events offered directly by The Petersen Ranch. Please note that each Third Party Operator has their own set of registration and cancellation policies and these policies will apply to their events.
Registration: To guaranty your reservation, a booking deposit, completed registration and completed liability release form must be received 90 days prior to the date of the event. All reservations are based upon availability. At times, a workshop may not fill prior to the 90 day requirement. In these cases, The Petersen Ranch will continue to accept reservations until the event is fully book edor has reached the minimum number of participants. Under these circumstances, payments will be accepted, per instructions given on a case by case basis. Deposit payments may be made by personal, business check, or money order and should be made payable to The Petersen Ranch. Fees are quoted in US dollars and must be paid in same. If any required payments are not made, we reserve the right to treat your reservation as cancelled. (see Item 3 below regarding cancellations).
Guest Rates: In some cases, allowances are made for non-participating guest(s) to accompany the enrolled participant.. Please inquire about any applicable fees that may result.
Final Payment: Final payment for the event must be made prior to the start of the event.
Tour minimums: For some events, there are a minimum number of participants required for the event to occur. These minimums are clearly stated in the description. If possible, participants will be notified 30 days prior to the event if a cancellation is required Events with less than the minimum number may be held, at the discretion of The Petersen Ranch.
Items not included in tour price: Airfare and travel between gateway city and home, excess baggage charges, passport and visa costs, medical prescriptions, doctor visits, insurance or other medical expenses, personal items, baggage or trip cancellation insurance, tips and gratuities, optional excursions, some or all meals (as described in the tour information), alcohol.
Cancellation and Refunds: Cancellations on the part of the participant must be made in writing and received by our office by US Mail, courier, or confirmed email per the schedule listed below unless otherwise stated in the event description. A phone call from the participant is also recommended to confirm receipt of his or her written cancellation. Cancellations received 30 days prior to the workshop will receive a full refund of their deposit. After the 30 days, all deposits will be forfeited The Petersen Ranch will consider exceptions, based upon emergency cancellations on a case by case basis. All forfeited deposits may be applied to any other Petersen Ranch event within a 1 year period of the originally scheduled event.
Cancellations or rescheduling of workshops on the part of The Petersen Ranch may be made resulting from certain circumstances beyond the control of The Petersen Ranch. We also retain the right to cancel or reschedule any workshop when inadequate enrollment makes the workshop economically unfeasible for our company. In those rare cases, advance notice of 30 days will be made.. However, The Petersen Ranch will not be responsible for additional loss or expense incurred by the workshop participant and/or his or her non-photographing guests, such as airline tickets, airline cancellation fees, travel insurance, guide fees, and other related charges. Please be assured, however, that it is with the utmost consideration that The Petersen Ranch ever considers such cancellations.
We strongly encourage you to purchase trip cancellation insurance. Considering all possibilities for airline issues, natural disasters and acts of God, death of immediate family member, personal illness, or other unforeseen reasons, we advise you to seriously consider obtaining this type of insurance to protect your investment. The Petersen Ranch, its workshop instructors, employees, guides, or assigns are not responsible for losses incurred by a cancelled workshop.
Special Terms and Conditions: Participants must agree to abide by all rules, restrictions associated with the event. You also agree to respect the rights of other workshop participants, leaders, and those providing services to or for said workshop. Failure to comply with any governing rules or authority may result in the removal of the participant from said workshop or related activity with no provisions for refund. The Petersen Ranch reserves the right to stop a workshop or remove individuals at any time it is felt a participant is a danger to other members or him/herself. It is the responsibility of workshop participants to be in good physical condition and to notify The Petersen Ranch of any medical, dietary, or physical needs.
All workshop itineraries are tentative (subjects, events and times). Itineraries are subject to change without prior notice due to weather and other environmental conditions, direct or indirect logistical arrangements, transportation plans, health conditions of workshop participants and/or instructors, employees, guides, or assigns, and/or any other factors deemed to be relevant by The Petersen Ranch. However, we will make every effort to rearrange or substitute activities of equal value, if possible.
Model Release: You consent that any and all photographs and/or video tapes of you or that include your property may be used by The Petersen Ranch and/or its assigns in promotional and/or advertising efforts for no fee and/or compensation.
Equipment and Gear: It is the responsibility of each event participant to bring and provide his or her own equipment and gear. A suggested list of items to bring is included in the workshop packet sent to registered participants. This is a suggested list only and does not replace personal preference and one's possibly limited resources or health restrictions. The Petersen Ranch is not responsible for any loss or damage that might occur to a participant’s equipment.
Release and Assumption of Risk Waiver: All event participants and/or non-participating guests must agree to all terms and conditions of the aforementioned "Event Policies" and the following "Release and Assumption of Risk" waiver. This agreement is a prerequisite and condition to participating in or taking part of any and all events with The Petersen Ranch. Your payment for any event with The Petersen Ranch constitutes full agreement to said policies and waiver and is as binding as your signature. Refusal to agree to this waiver automatically cancels and/or revokes your registration to participate; and your registration and/or enrollment will be considered as a cancellation.
